EXECUTIVE ASSISTANT

Responsibilities:
• Part-time, Paid, 20h/week, on site
• Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Executive Director’s behalf
• Maintaining comprehensive and accurate records
• Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
• Answering phone calls
• Welcoming and showing around visitors, identifying the purpose of their visit before directing them to the appropriate department
• Managing the Executive Director’s calendar, including making appointments and prioritizing the most sensitive matters
• Managing social media accounts
• Managing Wild Apricot database and making updates to the WordPress website
• Preparing for and attending Second Saturday ArtWalk
• Occasionally attend after-hour events and meetings
• Creating promotional materials such as newsletters, flyers, banners
• Organizational and administrative tasks as needed (proofreading, errands, preparing meetings)

Candidate Profile:
• 4-year College or University Degree
• 3-5 years’ experience in administrative position
• Arts non-profit experience preferred
• Excellent verbal and written communication skills
• Proficiency in Word, Excel, Power Point, Constant Contact, Canva, Social Media Platforms, Google Office Suite, Slack, Monday.com
• Can-do, proactive, entrepreneurial mindset
• Comfortable working and delivering in a fast-paced and high-pressure environment

EVENTS COORDINATOR

Responsibilities:
• Part Time, Paid, 20h/week, with the option to move to FT.
• Start to finish event management
• Promotes and increases rental activity in various spaces on Campus
• Manages performance calendar
• Interfaces with vendors and ensures compliance with venue
• Networks throughout Tampa Bay to bring first class performances to Campus
• Coordinates event staff
• Creates necessary event collateral
• Creates, manages and updates ‘production schedule’, ‘workback document’ and ‘run of show’
• Preparing for and attending Second Saturday ArtWalk
• Attending after-hour events and meetings

Candidate Profile:
• 3-5 years of work experience in event management
• Background in performing arts preferred
• Working knowledge of AV
• Well-connected in the performing arts industry
• Able to perform under pressure
• Willingness to work evenings and weekends
• Proficiency in Word, Excel, Power Point, Constant Contact, Canva, Social Media Platforms, Google Office Suite, Slack, Monday.com
